Scope
We handle personal information under the Privacy Act 1988 (Cth) and Australian Privacy Principles (APPs).
We provide holistic coaching services for educational purposes. We are not a health service provider and do not offer counselling, therapy, or medical services.
For clients outside Australia, we consider relevant overseas laws where clients reside (e.g., UK/EU GDPR, NZ Privacy Act 2020, and applicable US state laws).

What we collect
Identification & contact: name, email, phone, address, DOB.
Service & interaction: session bookings, preferences, goals, session notes, communications.
Payments: transaction details processed by our provider (we do not store full card numbers).
Technical/usage: IP address, device/browser data, cookies, analytics.
Sensitive info: wellbeing information you choose to share, collected only with consent or as permitted by law.
How we collect
Directly from you: through our Squarespace website forms, Delenta bookings and client portal, email, phone, Microsoft Teams, Outlook, Zoom sessions, social media messages, notes and purchases.
Third parties you authorise: such as payment and scheduling providers (e.g. Stripe, Delenta).
Automatically: through basic website cookies and server logs used for site functionality and security (we do not use tracking tools).
Why we use your information
Verify identity and deliver, improve, and support services.
Bookings, administration, invoicing, and payment processing.
Client communications and lawful direct marketing (opt-out available).
Respond to enquiries and complaints.
Research and statistics using de-identified and aggregated information only (you may request to opt-out where feasible).
Protect legal rights, prevent fraud, and comply with law.
Any other purpose you authorise, or law permits.

Our systems and service providers
We use established third-party platforms to operate our business. Your information may be stored or processed where these providers host or back up their data:
Squarespace - website hosting, forms & enquiries.
Delenta - client portal for bookings, client management, exercises, contracts, communications.
Zoom - video conferencing for online coaching sessions (recording only with your consent)
Stripe - secure payment processing (we do not store full card numbers)
Microsoft 365 (Outlook, Teams, OneDrive) – emails, documents, session notes.
Fathom (AI notetaker) - optional call summaries/notes, used only with your explicit consent.
We only share information with these providers to the extent necessary to deliver our services.
We may add or replace providers offering equivalent or better privacy and security standards. We take reasonable steps to ensure vendors handle information consistent with the Australian Privacy Principles (APPs) and, where relevant, GDPR.
Overseas disclosures
Some providers store/process data in the United States, United Kingdom, European Union member countries, New Zealand, and other locations where they operate.
We take reasonable steps to ensure overseas recipients protect your information in line with the APPs and, where relevant, GDPR safeguards (e.g., SCCs/IDTA where required).
Lawful bases for EU/UK clients
Contract: to deliver the services you request.
Consent: for optional items (marketing emails, recordings/AI notes, any wellbeing info).
Legitimate interests: service improvement, security, analytics, fraud prevention. Balanced against your rights.
Legal obligation: tax, accounting, compliance.

Security & retention
Safeguards: physical, technical, and organisational controls, role-based access, encryption in transit where supported by vendors.

If a breach is likely to cause serious harm, we will promptly assess and notify affected individuals and the OAIC. For UK/EU/NZ clients, we will also follow the relevant regulator rules.
